Dispatch2Invoice Privacy Policy

Information we collect

Dispatch2Invoice may process the following types of information as part of normal field-service operations:

Account and identity information

• Name
• Email address
• User account identifiers
• Company and team membership
• User role and access permissions

Customer and job information

• Customer names and contact information
• Service addresses
• Job descriptions and scheduling information
• Job notes, diagnoses, work performed, materials, and related service records
• Technician activity and job status information
• Time and work records
• Estimates, invoices, and payment-status information

Photos, signatures, and documents

• Job-site photos
• Customer signatures
• Attachments
• Service Proof records
• Documents and other files intentionally added to a job

When a user selects or captures a photo or document, D2I may temporarily store that content on the device while it is waiting to synchronize. Required business content is then synchronized to D2I’s private server storage so authorized office and field users can access it.

Payment information

When payment functionality is used, D2I may process transaction-related information such as payment status, amount, transaction identifiers, refunds, and related billing information.

Payment-card processing is performed through Stripe where applicable. D2I does not intentionally store full payment-card numbers or card security codes on its servers.

Technical and security information

D2I may process limited technical information necessary to operate, secure, synchronize, and troubleshoot the service, such as:

• App version
• Operating-system and device characteristics
• Network request information
• Authentication and synchronization timestamps
• Error, security, and operational logs

D2I does not use this information for targeted advertising.

How we use information

We use information to:

• Authenticate users
• Determine company membership and permissions
• Dispatch and manage service jobs
• Synchronize information between field devices and D2I Office
• Store and retrieve job records, photos, signatures, attachments, and Service Proof
• Generate and manage estimates, invoices, and related business records
• Support authorized payment workflows
• Maintain offline-capable field operations and safely synchronize changes when connectivity returns
• Detect synchronization conflicts
• Protect D2I accounts, customer records, and infrastructure
• Troubleshoot errors and provide customer support
• Maintain audit and operational records where appropriate

Offline storage and synchronization

D2I is designed to continue supporting field work when internet connectivity is unavailable.

Information may therefore be stored temporarily on an Android device while the user is offline or while synchronization is pending.

Once D2I reports that required business information is fully synchronized, the authoritative business copy is intended to reside in D2I’s server environment and be accessible to authorized users through D2I services.

How information is shared

D2I does not sell personal information.

Information may be shared with:

Authorized users within the same D2I company

Customer, job, billing, media, and service information may be available to authorized technicians, office personnel, administrators, or other users belonging to the same D2I company according to their permissions.

Service providers

D2I uses third-party service providers to operate the service. These may include:

• Google / Firebase for authentication and related application services
• Google Cloud for application hosting, databases, private file storage, and infrastructure
• Stripe for supported payment-processing functionality

These providers process information only as necessary to provide their respective services and are subject to their own privacy and security terms.

Legal and safety requirements

Information may be disclosed when reasonably necessary to comply with law, legal process, enforce agreements, prevent fraud or abuse, or protect the rights and security of D2I, its users, customers, or others.

Photos, camera, and files

D2I may request access to the device camera, photo picker, or files when a user intentionally captures or selects content for a service record.

D2I does not use these permissions to browse or collect unrelated personal photos or files.

Selected business media may be copied into D2I-controlled temporary storage and synchronized to private server storage.

Data security

D2I uses technical and organizational safeguards intended to protect information, including:

• Authenticated user access
• Company- and role-based authorization
• Tenant isolation
• Encryption in transit
• Private cloud storage
• Restricted server and storage permissions
• Integrity checks for synchronized media
• Security logging and operational controls
• Screen-capture restrictions on selected sensitive Android screens

No method of electronic storage or transmission can guarantee absolute security.

Data retention

Business records may be retained for as long as necessary to provide D2I services, maintain company records, support legitimate business operations, meet security requirements, resolve disputes, and comply with applicable legal or accounting obligations.

Temporary device copies may remain while work is offline or awaiting synchronization and may also remain as local application cache after synchronization.

Access, correction, and deletion requests

Users or authorized company representatives may request information about personal data associated with their D2I account or request correction or deletion where applicable.

Certain business, financial, security, audit, or legally required records may need to be retained even after an account or other information is deleted.

If Google Play requires a separate account-deletion web resource for the applicable D2I account model, D2I will provide that resource and identify it in the app and Play listing.

Children’s privacy

Dispatch2Invoice is business field-service software and is not designed for or directed to children.

D2I does not knowingly collect personal information from children for consumer use.

Advertising and sale of data

D2I does not sell personal information.

D2I does not use customer, technician, or job data for third-party targeted advertising.

Changes to this policy

This Privacy Policy may be updated as Dispatch2Invoice changes or as legal and platform requirements evolve.

Material changes will be reflected by updating the effective date and publishing the revised policy at the public D2I privacy-policy URL.
